1. Introduction
This Privacy Policy explains how FORE SEASONS GOLF STUDIO, LLC, a New Jersey limited liability company ("FORE SEASONS," "we," "us," or "our"), collects, uses, and shares information when you visit our website at foreseasonsgolfstudio.com (the "Website"), previously placed a paid reservation, or — once we open — become a member and use our golf simulator studio and booking application.
We are currently in a pre-launch phase. Parts of this policy describe planned information practices that may apply only after the studio opens and the relevant service, notice, and consent controls are approved. A planned practice is not a promise that the feature is available now.
This Privacy Policy is a notice about information practices, not a substitute for a separate agreement or consent required for a particular service. The Terms of Service separately govern use of the Website.
2. Who is responsible for your information
FORE SEASONS GOLF STUDIO, LLC is responsible for the information described in this policy. The studio is owned and operated by FORE SEASONS GOLF STUDIO, LLC. You can contact us about privacy at any time at info@foreseasonsgolfstudio.com.
3. Information we collect
Information you give us. If you previously completed a paid Founding reservation, we may hold the name, email address, phone number, town or postal code, and limited payment record associated with that transaction. New paid Founding reservations are not currently available. If you email us or fill out a form, we receive whatever you choose to send. Once you become a member, we will also collect the information needed to set up and manage your account, such as your contact details, login credentials, emergency contact, the bank or card details used for billing, your bookings, and your service history.
Payment information. We have used Stripe for prior paid reservations and may use it for an approved future payment flow. In a Stripe transaction, you provide your card or bank-account details directly to Stripe through its checkout. We do not collect or store your full card number or full bank-account number on our own systems. We receive limited information from Stripe, such as a confirmation of payment, the last few digits of the payment method, and the billing details you provided. New paid Founding reservations are not currently available.
Information collected automatically on the Website. Like most websites, when you visit, our hosting and supporting providers may automatically receive standard technical information, such as your internet protocol (IP) address, browser type, device type, the pages you view, and the date and time of your visit. We use this to keep the Website secure and working properly. Our Website is intentionally lightweight: it does not set advertising cookies, and we do not use it for targeted advertising. The Website loads fonts from Google's font service, which means your browser contacts Google's servers. If in the future we add website analytics or a new payment flow, we will update this policy and, where required, ask for your consent.
Information collected at the facility (once we open). Because the studio operates without on-site staff, we rely on technology to keep it secure and running:
- Access logs. When you book and enter the studio, our smart-lock and booking systems record which member accessed which bay and when.
- Security cameras. The facility is monitored by security cameras that record video only. Consistent with New Jersey law, the cameras do not record audio. Camera coverage is used for safety and security and to support the bay-condition review described in Section 4.
- Identity verification. Identity-photo collection and automated face-image comparison are currently disabled. If we later offer an approved identity-verification process, we will first provide the applicable notice, separate authorization where required, retention details, provider information, and a reasonable non-photo alternative.
4. Cameras, automated review, and identity verification
Because our studio is unmanned, cameras and automated tools play an important role. We want to be clear about how they work and what rights you have.
What the cameras do. Cameras record video only — never audio — and are used to protect members and the facility, to respond to incidents, and to check the condition of a bay at the start and end of a session.
How planned automated review works. If enabled after launch review, a system may compare still images from the start and end of a session and use an artificial-intelligence vision model to flag a possible change in bay condition. A flag is only a suggestion. A person at FORE SEASONS must review supporting evidence before action or any proposed fee; the automated system does not charge a customer on its own.
Your rights in this process. If a bay-condition fee is proposed for your session, we will notify you, and you may ask to view the relevant images and dispute the fee within the dispute window described in your Membership Agreement before any charge is finalized.
Third-party processing of images. If a third-party vision provider is enabled for condition review, we will disclose the provider and applicable processing/retention terms after vendor review. We do not claim in this notice that any provider has accepted a no-training or deletion term that has not been verified.
Biometric and identity-verification note. Identity-photo collection and automated face-image comparison are disabled. Any future process that derives identity information from a face image may involve sensitive or biometric information and will require the approved purpose, notice/authorization, provider controls, retention/deletion process, accessible alternative, and human challenge route before collection begins.
5. How we use your information
We use the information we collect to:
- support and maintain records for a prior paid Founding reservation, if you completed one;
- set up and administer your membership, bookings, and facility access once we open;
- process payments, dues, and any applicable fees, and prevent fraud;
- operate, secure, and maintain the studio, including the safety, security, and bay-condition purposes described above;
- communicate with you about your reservation, account, or our opening, and respond to your questions;
- comply with our legal, tax, and accounting obligations; and
- understand and improve our Services.
We do not sell your personal information, and we do not use it for cross-context targeted advertising.
6. How we share your information
We share information only as needed to run our business and as described here:
- Service providers. Current or planned service providers include Stripe for prior and approved future payments; Supabase for authentication, database, and storage; Railway for application hosting; Twilio and Resend for communications; and Google Fonts for font delivery. Plaid may support an approved future bank-verification flow. On-site camera/access systems and any vision provider apply only if configured and disclosed for the launched service. Provider contracts and privacy policies govern their own processing; we disclose only the information reasonably needed for the service.
- Golf professionals. If you book a lesson with an independent golf professional through us, we share the information needed to schedule and process that lesson.
- Legal and safety. We may share information when we believe in good faith it is necessary to comply with the law, respond to lawful requests, enforce our agreements, or protect the rights, property, or safety of our members, the public, or FORE SEASONS.
- Business transfers. If we are involved in a merger, sale, financing, or transfer of assets, your information may be transferred as part of that transaction, subject to this policy.
We do not sell your personal information to third parties, and we do not share it for third-party advertising.
7. Payment processing
We have used Stripe for prior payments and may use it for an approved future payment flow. Payment details supplied in a Stripe transaction are handled by Stripe under its own privacy policy and security standards, including the Payment Card Industry standards for handling card data. We encourage you to review Stripe's privacy policy to understand how it processes your information.
8. How long we keep your information
We keep information only as long as we need it for the purposes described in this policy, or as required by law. As general guidance:
- Prior paid-reservation information is kept while the transaction or any related request is active and afterward for the period needed for legal, tax, accounting, dispute, and recordkeeping obligations, then deleted or anonymized when appropriate.
- Future session and identity-verification records will use the retention period stated in the approved service notice. Identity-photo collection is currently disabled, and this policy does not approve a 24-month identity-photo period.
- Security-camera video is kept for a limited period — generally about 30 days — after which it is overwritten, unless a specific clip must be kept longer to handle an incident, dispute, claim, or legal request.
- Membership and billing records are kept for as long as you are a member and afterward for the period required by our tax, accounting, and legal obligations.
9. Your choices and rights
Email. You can ask us to stop sending non-essential messages at any time by emailing info@foreseasonsgolfstudio.com or using any unsubscribe link we provide. We may still send you essential messages about your reservation, account, or a transaction.
Text messages (SMS). Transactional account, booking, door-access, lesson, and one-time verification messages for a service you request are separate from marketing consent. Only if you separately check the marketing-consent box will we send recurring automated marketing text messages about opening updates, membership-sale announcements, studio news, and occasional offers. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. Consent to marketing texts is not a condition of any purchase. We do not sell or share mobile information, or your consent to receive text messages, with third parties or affiliates for their marketing or promotional purposes. Mobile information is shared only with the service providers (such as our SMS carrier) needed to deliver the messages you requested.
Access, correction, and deletion. You may ask us to confirm what information we hold about you, to correct it, or to delete it. To make a request, email us at info@foreseasonsgolfstudio.com. We may need to verify your identity before acting on a request, and some information may be kept where the law allows or requires it.
New Jersey residents. The New Jersey Data Privacy Act applies when its statutory thresholds and other conditions are met. Whether or not it currently applies to our scale, we offer a voluntary process to request access, correction, deletion, or a portable copy, subject to identity verification and lawful retention. We will not unlawfully discriminate because a person exercises an applicable privacy right.
10. Children's privacy
The Website and current online account services are directed to adults, and a child does not create or operate an account. Minor registration and attendance are currently disabled while parent/legal-guardian authority, pre-collection age screening, COPPA analysis, consent, minimization, provider, security, retention, access, and deletion controls are finalized. If you believe a child under 13 supplied information through a current Website form, contact us so we can investigate and take the action the law requires.
11. How we protect your information
We use reasonable administrative, technical, and physical measures designed to protect your information, and we rely on established providers such as Stripe for payment security. No website, system, or method of transmission is completely secure, however, and we cannot guarantee absolute security. Please help protect your account by keeping your login credentials confidential.
12. Other websites
The Website may link to other websites or services we do not control, such as our payment processor or social media. This Privacy Policy does not apply to those services, and we encourage you to review their privacy policies.
13. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above and post the new version on the Website. If we make a material change, we will take reasonable steps to let you know. Please review this policy periodically.
