1. Introduction
This Privacy Policy explains how FORE SEASONS GOLF STUDIO, LLC, a New Jersey limited liability company ("FORE SEASONS," "we," "us," or "our"), collects, uses, and shares information when you visit our website at foreseasonsgolfstudio.com (the "Website"), place a reservation, or — once we open — become a member and use our golf simulator studio and booking application.
We are currently in a pre-launch phase. Parts of this policy describe information we will collect once the studio opens; those parts are marked as applying "at the facility" or "once you become a member." We wanted to be transparent now about how the full service will work.
By using the Website or our Services, you agree to this Privacy Policy. If you do not agree, please do not use the Services.
2. Who is responsible for your information
FORE SEASONS GOLF STUDIO, LLC is responsible for the information described in this policy. The studio is owned and operated by Joseph M. Martin Jr. You can contact us about privacy at any time at info@foreseasonsgolfstudio.com.
3. Information we collect
Information you give us. When you place a $5 reservation, we collect your name, email address, phone number, and town or postal code. If you email us or fill out a form, we receive whatever you choose to send. Once you become a member, we will also collect the information needed to set up and manage your account, such as your contact details, login credentials, emergency contact, the bank or card details used for billing, your bookings, and your service history.
Payment information. Payments are processed by our payment processor, Stripe. When you pay, you provide your card or bank-account details directly to Stripe through its secure checkout. We do not collect or store your full card number or full bank-account number on our own systems. We receive limited information from Stripe, such as a confirmation of payment, the last few digits of the payment method, and the billing details you provided.
Information collected automatically on the Website. Like most websites, when you visit, our hosting and supporting providers may automatically receive standard technical information, such as your internet protocol (IP) address, browser type, device type, the pages you view, and the date and time of your visit. We use this to keep the Website secure and working properly. Our Website is intentionally lightweight: it does not set advertising cookies, and we do not use it for targeted advertising. The Website loads fonts from Google's font service, which means your browser contacts Google's servers; the payment step is hosted by Stripe, which sets its own cookies as part of providing secure checkout. If in the future we add website analytics, we will update this policy and, where required, ask for your consent.
Information collected at the facility (once we open). Because the studio operates without on-site staff, we rely on technology to keep it secure and running:
- Access logs. When you book and enter the studio, our smart-lock and booking systems record which member accessed which bay and when.
- Security cameras. The facility is monitored by security cameras that record video only. Consistent with New Jersey law, the cameras do not record audio. Camera coverage is used for safety and security and to support the bay-condition review described in Section 4.
- Identity verification. For certain access — for example, free "Try-It" sessions offered to non-members — we may ask for a photo at booking and compare it to an image captured at arrival to confirm the right person is using the reservation.
4. Cameras, automated review, and identity verification
Because our studio is unmanned, cameras and automated tools play an important role. We want to be clear about how they work and what rights you have.
What the cameras do. Cameras record video only — never audio — and are used to protect members and the facility, to respond to incidents, and to check the condition of a bay at the start and end of a session.
How automated review works. To help keep bays clean and ready for the next member, an automated system captures still images from the start and end of a session and uses an artificial-intelligence vision model to flag a possible change in the bay's condition. A flag is only a suggestion. A person at FORE SEASONS reviews any flag before we take action or charge any fee. The automated system never charges you on its own.
Your rights in this process. If a bay-condition fee is proposed for your session, we will notify you, and you may ask to view the relevant images and dispute the fee within the dispute window described in your Membership Agreement before any charge is finalized.
Third-party processing of images. The vision model that assists with this review is provided by a third-party artificial-intelligence service provider, which processes the session images on our behalf under terms that limit its use of the images to providing the service.
Biometric and identity-verification note. Where we compare a booking photo to an arrival image to verify identity, that process may involve biometric information. We use it only to confirm identity for access and security, not for advertising or any unrelated purpose, and we will obtain your consent where the law requires it. We retain verification photos only as long as needed for that purpose and as described in Section 8.
5. How we use your information
We use the information we collect to:
- manage your $5 reservation and your position in the Founding Member queue, and notify you about the Founding Member sale;
- set up and administer your membership, bookings, and facility access once we open;
- process payments, dues, and any applicable fees, and prevent fraud;
- operate, secure, and maintain the studio, including the safety, security, and bay-condition purposes described above;
- communicate with you about your reservation, account, or our opening, and respond to your questions;
- comply with our legal, tax, and accounting obligations; and
- understand and improve our Services.
We do not sell your personal information, and we do not use it for cross-context targeted advertising.
6. How we share your information
We share information only as needed to run our business and as described here:
- Service providers. We share information with companies that provide services to us, including our payment processor (Stripe), automation and spreadsheet tools we use to manage reservations (such as Zapier and Google), our website host, the artificial-intelligence provider that assists with bay-condition review, and communication tools. These providers may use the information only to provide services to us.
- Golf professionals. If you book a lesson with an independent golf professional through us, we share the information needed to schedule and process that lesson.
- Legal and safety. We may share information when we believe in good faith it is necessary to comply with the law, respond to lawful requests, enforce our agreements, or protect the rights, property, or safety of our members, the public, or FORE SEASONS.
- Business transfers. If we are involved in a merger, sale, financing, or transfer of assets, your information may be transferred as part of that transaction, subject to this policy.
We do not sell your personal information to third parties, and we do not share it for third-party advertising.
7. Payment processing
We use Stripe to process payments. Your payment details are collected and handled by Stripe under its own privacy policy and security standards, including the Payment Card Industry standards for handling card data. We encourage you to review Stripe's privacy policy to understand how it processes your information.
8. How long we keep your information
We keep information only as long as we need it for the purposes described in this policy, or as required by law. As general guidance:
- Reservation information is kept while your reservation is active and for a reasonable period after the Founding Member sale is resolved, then deleted or anonymized.
- "Try-It" session and identity-verification records are kept for a limited period needed to administer that program (approximately 24 months for session records), and verification photos are kept only as long as needed to confirm identity.
- Security-camera video is kept for a limited period — generally about 30 days — after which it is overwritten, unless a specific clip must be kept longer to handle an incident, dispute, claim, or legal request.
- Membership and billing records are kept for as long as you are a member and afterward for the period required by our tax, accounting, and legal obligations.
9. Your choices and rights
Email. You can ask us to stop sending non-essential messages at any time by emailing info@foreseasonsgolfstudio.com or using any unsubscribe link we provide. We may still send you essential messages about your reservation, account, or a transaction.
Access, correction, and deletion. You may ask us to confirm what information we hold about you, to correct it, or to delete it. To make a request, email us at info@foreseasonsgolfstudio.com. We may need to verify your identity before acting on a request, and some information may be kept where the law allows or requires it.
New Jersey residents. Under the New Jersey Data Privacy Act, New Jersey residents have rights to access, correct, delete, and obtain a portable copy of their personal data, and to opt out of the sale of personal data, targeted advertising, and certain profiling. We do not sell personal data or use it for targeted advertising. To exercise any of these rights, contact us at info@foreseasonsgolfstudio.com. We will respond within the time the law requires. If we decline your request, you may ask us to reconsider by replying to our response. We will not deny you goods or services for exercising your privacy rights.
10. Children's privacy
The Website and our online Services are intended for adults and are not directed to children under 13, and we do not knowingly collect personal information online from children under 13. If you believe a child under 13 has provided us information through the Website, please contact us and we will delete it, consistent with the Children's Online Privacy Protection Act. Use of the facility by minors is handled in person under our facility rules and requires a parent or legal guardian, as described in our Terms of Service and Membership Agreement.
11. How we protect your information
We use reasonable administrative, technical, and physical measures designed to protect your information, and we rely on established providers such as Stripe for payment security. No website, system, or method of transmission is completely secure, however, and we cannot guarantee absolute security. Please help protect your account by keeping your login credentials confidential.
12. Other websites
The Website may link to other websites or services we do not control, such as our payment processor or social media. This Privacy Policy does not apply to those services, and we encourage you to review their privacy policies.
13. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above and post the new version on the Website. If we make a material change, we will take reasonable steps to let you know. Please review this policy periodically.
